School coach hire in Birmingham is a booking made by the school, trust or local authority, with a DBS-checked driver and a vehicle that has seatbelts for the pupils travelling. The visit leader still supervises the pupils. The operator supplies the vehicle, the driver and a journey that matches the times you send. Those are different jobs, and mixing them up is how trips go wrong on the morning.
The shorter tips for school trip transport still stand. This guide is the one to use when you are the educational visits coordinator or the teacher signing the form. It follows the questions in the OEAP National Guidance on hiring a coach: the operator, the driver, the vehicle, the journey, and the needs of the group.
Who should book the coach?
The contract should sit with the school or the organisation that holds the insurance for the visit, not with a parent who has offered to "sort the bus". A parent-booked coach can leave the school without a contract, without a clear cancellation position, and without the checks the visits policy expects.
On the enquiry, name the school, the visit leader, and the person who can approve the quote. If a trust or the local authority has to raise the purchase order, say so. We would rather wait for the order number than arrive to a dispute about who is paying.
For a one-off visit, use private hire and group travel. For swimming, fixtures or a route that runs every week, that is contract work and should be priced as a repeating service rather than as a string of day trips.
What to ask about the driver
Bouden drivers are DBS-checked and CPC-qualified. Where a school or local authority requires an enhanced DBS for a particular contract, ask for that at enquiry stage so the right driver is allocated, not added the day before. A DBS check is not a substitute for supervision. Pupils remain the responsibility of the staff on the trip. The driver drives.
Ask for the operator's PSV licence details if your policy requires them, and for confirmation of insurance. You do not need to become a transport manager. You do need evidence you can file with the visit paperwork.
Seatbelts and the vehicle
All passengers must wear seatbelts where they are fitted. When you book, confirm the vehicle has a belt for every pupil and adult on the list, including staff. Do not plan for pupils to share seats, and do not plan for three pupils on a bench that is belted for two.
| Who is travelling | Vehicle that usually fits | Watch for |
|---|---|---|
| Up to 16 pupils plus staff | Minibus | Kit bags for sport or swimming |
| A class, roughly 20 to 30 | Midi coach | One teacher per group and a first-aider |
| A year group, up to about 49 | Standard coach | Hold space if it is a residential |
| Two classes or a whole-school outing | Large coach or two vehicles | A second visit leader, not one person across two coaches |
Wheelchair spaces and extra boarding time need to be on the enquiry. We operate PSVAR-compliant wheelchair-accessible vehicles, and they have to be specified rather than assumed. The wheelchair-accessible coach hire guide explains what to send.
One-off visits, swimming and fixtures
A trip to Thinktank, Cadbury World, Warwick Castle or the theatre is a there-and-back booking. Give us the opening time you must meet and we will work backwards, including Birmingham traffic at 8.30am rather than at 10.30am.
Swimming lessons and sports fixtures are different. They are short, repeated, and often at an awkward time of day. Price them as a pattern: the same pickup, the same pool or pitch, the same days. A fixture at 4.30pm that returns after the driver's other work needs to be in the quote, not added on the touchline.
London residentials and coastal field trips need luggage space and a realistic driver's day. A departure from north Birmingham at 7am can still be a long duty if the return is the same evening. If the visit is an overnight stay, say whether the coach stays with you or returns empty and comes back on the last day. Those are different prices.
Birmingham departures that need an earlier start
- Cadbury World and Bournville. Short, but the approach and coach setting-down are specific. Do not assume a full-size coach can use the visitor car park.
- Thinktank and the city centre. Millennium Point sits inside the Clean Air Zone. The vehicle needs to be compliant, and drop-off is a set-down, not a parking space.
- Warwick Castle and Stratford-upon-Avon. Popular with Birmingham schools and busy in summer. Coach parks fill. Book the time you need to be educationally ready, not the time the coach can "try" to arrive.
- Alton Towers and Drayton Manor. Theme-park days are a full driver's day. Read the Alton Towers coach hire guide before you promise pupils a 9am gate.
What to put on the enquiry
- School name, visit leader and a mobile that works on the day.
- Date, pickup address, destination and the time you must arrive.
- Number of pupils and number of staff, counted separately.
- Outward and return, or outward only.
- Luggage, sports kit, instruments or lunch boxes.
- Any pupil who uses a wheelchair, or who needs to board with more time.
- Whether enhanced DBS evidence is required for your policy.
Request a school trip quote or call 0800 112 3770. If the trip is a prom rather than a visit, use the prom transport guide. The school still books it. The timing is an evening return, which is a different plan.
What to file with the visit paperwork
OEAP guidance expects the visit leader to know who the operator is, that the driver and vehicle are suitable, and that the journey matches the group. You do not need a transport manager's file. You do need something you can show your head or your local authority if they ask.
- The quote, with the date, the pickup, the destination and the passenger numbers.
- Confirmation that the driver allocated is DBS-checked, and enhanced DBS where your policy requires it.
- The vehicle type and that there is a seatbelt for every passenger on the list.
- A contact number for the operator on the day, and the visit leader's number on our booking.
- Any wheelchair space or medical note that changes boarding.
If the trip is a residential, add whether the coach stays with the group or returns empty. Those are different driver's days and different prices. A Friday departure to a centre in Wales that comes home on Sunday is not a day trip with a long gap in the middle unless you have hired the vehicle to stay.
School coach hire FAQs
Are Bouden drivers DBS-checked for school trips?
Yes. Drivers are DBS-checked. If your trust or local authority requires an enhanced certificate for that contract, say so when you enquire so it can be confirmed before you issue the visit letter.
Who supervises the pupils?
School staff. The driver is responsible for the vehicle and for driving. Ratios, headcounts, behaviour and first aid sit with the visit leader under your own policy and the OEAP guidance your employer uses.
Do the coaches have seatbelts?
Confirm a belt for every passenger on the vehicle you are quoted. Passengers must wear seatbelts where they are fitted. Do not add extra pupils beyond the seated capacity.
Can you do weekly swimming or fixtures?
Yes. Send the pattern of days, times and term dates. A repeating run should be quoted as a block so the same style of vehicle can be planned, rather than re-booked as a one-off each week.
How far ahead should a Birmingham school book?
For June and July visits, book as soon as the date is in the calendar. Summer term is when every school wants a coach on the same Fridays. Swimming blocks for the next term are best agreed before the holiday, not in the first week back.
