Prom transport in Birmingham is an evening hire with a driver, usually from school or a meeting point to a hotel or a venue, then home or back to school. Parents often start a group chat in March for a prom in May or June. The bookings that work have one organiser, one vehicle plan and a return time. The ones that fail have twelve cars, a photographer and no agreement about who is collected first.
Bouden supplies the vehicle with a professional driver. We do not offer self-drive or "dry hire" minibuses. A parent with a car licence cannot collect one of our vehicles and drive the year group. If that is what the group wanted, it is a different market. What we do is the safer version: a licensed driver, a booked route and a school or a named adult as the hirer.
Who should book
The cleanest booking is the school, in the same way as a trip. The next cleanest is one parent or a PTA as the hirer, with the money collected beforehand. A coach company cannot invoice 40 separate households on the night. Decide who signs, then tell the year group.
If pupils are under 18, staff or named adults should be contactable. The driver drives. Adults supervise behaviour. Our school visit standards are in the school coach hire guide. A prom is not a educational visit, but the seatbelts, the DBS-checked driver and the named organiser still apply.
Photos, pickups and dresses
| Group size | Vehicle | Plan for |
|---|---|---|
| Up to 8 | MPV or small minibus | One house or the school gate |
| 9 to 16 | Minibus | Dress bags and a short photo stop |
| 17 to 32 | Midi coach | School collection, then the venue |
| A full year | Standard coach or two vehicles | A staggered departure so photos do not make you late |
A photo stop on a driveway only works if the vehicle fits. A 49-seat coach will not reverse into a cul-de-sac in Sutton Coldfield for pictures. Do photos at school or at the venue, where there is space. Tell us if you want five minutes outside school. Do not assume twenty minutes is included.
Formal wear needs a little more boarding time. It does not need a different vehicle unless someone is travelling in a wheelchair, in which case use the accessible hire guide and book the space early. Saturday proms in May clash with weddings. Our wedding guide is why that Saturday is already busy.
The return
Agree it before tickets for the prom go on sale.
- Either the coach waits and returns everyone to school or to two agreed points.
- Or parents collect from the venue at a published time, and the coach is outward only.
A mix, where the coach hunts for houses across Birmingham after 11pm, is the option that overruns. Alcohol is not permitted on board unless agreed in writing, and it should not be assumed at a school prom. Smoking and vaping are prohibited. A passenger who is a safety risk can be refused.
If the venue is on Broad Street, at the ICC or in a city hotel, the Clean Air Zone applies and the drop-off may be a set-down. Name the venue. "The prom hotel" is not enough.
What to send, and when
Enquire when the venue contract is signed. For a May or June prom that is often the spring term, and sometimes earlier for a popular Saturday. Send:
- School and venue.
- Date and the time pupils need to arrive.
- Numbers, and whether it is one vehicle or two.
- Outward only, or return as well.
- Who the hirer is.
Request a prom quote or call 0800 112 3770. Smaller groups can also read minibus hire with a driver.
A timetable parents can be sent
Once the vehicle is booked, the organiser should send one message, not a thread. Collection at school at 5.30pm. Arrival at the venue for 6.15pm. The coach leaves the venue at 11pm and returns to school, not to houses. Parents who are collecting from the venue instead should be told the coach is outward only, so nobody is waiting at school for a vehicle that was never coming back.
If two vehicles are needed, label them. "The first minibus" means nothing when both are the same colour. Use a registration or "the coach to the left of the hall" and put a member of staff on each if the pupils are under 18. The driver will not take responsibility for which friends ride together.
May and June Saturdays are also wedding Saturdays. A prom that is "only a minibus" still uses a driver we cannot then send to a ceremony in Solihull. Enquire when the venue contract is signed, not the week the outfits arrive.
Prom transport FAQs
Can parents drive the minibus themselves?
No. Bouden hire includes a professional driver. We do not do self-drive hire.
When should a Birmingham prom be booked?
As soon as the venue and date are fixed, especially for Friday and Saturday evenings in May and June. Those dates are also wedding dates.
Can you collect from school and take photos?
Yes, if the pickup is somewhere a coach or minibus can legally wait. A short photo stop can be written into the hire. A tour of family houses for pictures usually cannot.
Who pays?
One hirer. That can be the school or a named organiser who has already collected contributions. We do not split the invoice across every family on the night.
Do the vehicles have seatbelts?
Wear seatbelts where they are fitted. Confirm there is a belt for every pupil on the vehicle you are quoted, and do not add extra passengers on the night.
