University and College Transport in Birmingham

Group transport for a Birmingham university or college booking

University and college transport in Birmingham is group hire for a named campus, a named time and a named group: applicants on an open day, students on a Wednesday fixture, an ensemble with instruments, or a visiting cohort. The city has several universities and they are not on one site. A booking that says "Birmingham University" when it means a city-centre college will send the coach to the wrong gate.

We already provide transport for Birmingham City University and the Royal Birmingham Conservatoire, including off-site performances and event movements, and the university page sets out long-running fixture work with the University of Birmingham. The service page is university transport. This guide is how departments, students' unions and colleges should brief a job. National Wednesday-sport programmes are a different scale. This is the Birmingham version.

Name the campus

InstitutionWhat to put on the enquiry
University of BirminghamEdgbaston campus is the usual assumption. Name the building or the sports ground if it is not the main entrance.
Aston UniversityCity centre, inside the Clean Air Zone. A set-down, not a coach parked on campus all day.
Birmingham City UniversitySay which campus. City Centre, Millennium Point and the Conservatoire are not one door.
Newman UniversityBartley Green, south-west Birmingham. Easier parking than the centre, still send the entrance.
CollegesThe campus postcode. Several colleges share similar names.

Aston and Millennium Point sit in the Clean Air Zone. The vehicle needs to be compliant. Edgbaston and Bartley Green are outside the central zone but have their own access rules. Send a site contact who can open a gate.

Open days, freshers and visiting groups

Open days are a series of timed arrivals, not one coach at 9am. If you are moving applicants from a station or a hotel, send the wave times. A single 49-seater that arrives after the welcome talk has started has not done the job.

Freshers' movements are usually evenings, several stops, and a group that does not all appear. Cap the route at two or three pickups. Name a staff member whose number works. Alcohol is not permitted on board unless agreed in writing, which we rarely do for a student movement. The driver can refuse a passenger who is a safety risk.

Visiting students from another university need luggage space if they are staying. A fixture minibus with boots under the seats is the wrong vehicle for a three-day conference.

Wednesday fixtures and kit

A Wednesday away fixture is a small, repeating booking: one campus pickup, one opposition, kit in the hold, a return the same afternoon. Send the term's list if you have it, rather than emailing each Tuesday night. Term-time traffic at 1pm is not the same as a Sunday. If the return is after another booking window, it has to be in the quote.

Instruments for the Conservatoire and for music departments are fragile and oddly shaped. A cello, a drum kit or a music stand is not "a bag". Say what is travelling so we do not offer a vehicle that is full of people and empty of hold.

Who signs

Student societies often want to book in a personal name. The university usually wants a department, the union or a purchase order. Ask internally before you ask us, then put that name on the enquiry. A society booking that finance later refuses is an awkward coach to unpick on a Wednesday morning.

For staff shuttles between campuses, use the staff shuttle guide and contract transport. That is a timetable, not an open-day coach. For a one-off corporate guest of the university, corporate coach hire may be the closer fit.

What to send

  • Institution, campus and a site contact.
  • Date, pickup, destination and must-arrive time.
  • Passenger numbers, kit or instruments.
  • Who is paying, and whether a purchase order is required.
  • Any wheelchair user.

Request a university transport quote or call 0800 112 3770. School-age groups should use the school coach hire guide instead. The supervision rules are stricter.

An open day that runs in waves

A useful brief looks like this. First coach at New Street for 8.40am, at the campus for 9.10am, second coach thirty minutes later, both back to the station at 3pm. That can be two vehicles or one vehicle doing a repeat, and the repeat only works if the distance and the dwell time fit. A single coach that is still unloading the first wave cannot be at the station for the second. Send the wave times. If you only know "morning", we will assume one arrival and you may find the second train has no vehicle.

Fixtures are simpler and easier to get wrong in a different way. The kit and the return time matter more than the welcome speech. A 2pm push-back that becomes a 6pm return because of extra time has to be a phone call to us, not a hope that the driver is still in the car park.

University transport FAQs

Do you cover the University of Birmingham and Aston as well as BCU?

Yes. The university transport page sets out fixture work with the University of Birmingham, and we regularly move Birmingham City University and the Conservatoire. We also hire to Aston, Newman and other colleges. Name the campus so the vehicle goes to the right gate.

Can a student society book a coach?

Often yes, if the students' union or the society can be invoiced, or if a named organiser is the hirer. Check who is allowed to sign before you confirm. We need a contact who will be there on the day.

Can you move a team and the kit on a Wednesday?

Yes. Send the pickup on campus, the away venue and whether boots and bags need the hold. A termly list is easier to vehicle than a weekly rush.

Do you take instruments?

Yes, if we know what they are. Orchestral and band equipment needs hold space. Put it on the enquiry so the seat plan is honest.

Are drivers DBS-checked?

Drivers are DBS-checked. If your university requires a particular level of check for unsupervised contact, say so. Most group hire still has staff or society leaders on board. They supervise the group.
