The client and the brief

The Birmingham 2026 European Athletics Championships were the first European Athletics Championships ever hosted in the United Kingdom. Alexander Stadium in Perry Barr, redeveloped for the 2022 Commonwealth Games, hosted more than 1,500 athletes from around 50 nations across 13 sessions of competition, plus city centre marathons and race walks finishing at Victoria Square.

Our client, a major event delivery partner working on the championships, approached Bouden Coach Travel for scheduled coach shuttles across the week. The original brief was straightforward. A small number of coaches, running on a daily pattern between city centre pickup points and Alexander Stadium, for the duration of the event.

The reality turned out to be very different, and this case study explains how we handled it.

The challenge: passenger volumes higher than forecast

By the end of day two, it was clear that spectator volumes had been underestimated. Session by session, more coach capacity was needed than the original schedule allowed for. Requests for extra coaches began coming in with very little notice, sometimes only a few hours before pickup, and often outside normal office hours.

The operational challenge was not just about vehicles. It was about coordination.

  • Additional coaches had to be sourced, briefed and dispatched at short notice.
